Kirana store billing and stock checklist
Most losses in a small shop are small leaks: a bill not made, a stock not counted, an udhaar not asked for. A short routine plugs them.
Every day
Close the day the same way every evening.
- Check that every sale of the day was billed
- Count the cash and match it with the cash sales and payments
- Note which items finished and write them for purchase
- Look at who still owes you today’s udhaar
Every week
Once a week look beyond the day.
- Count the ten fastest items and compare with the system
- Call the customers whose udhaar is more than a week old
- Pay suppliers whose due date comes this week
- Check the low stock list and make the purchase order
Every month
At the month end, step back.
- Count the whole stock and correct the differences with a reason
- Review sales, purchases and expenses against last month
- Look at the items that did not sell and think about a scheme
- Send the GST figures to your accountant
Habits that save money
Give every item a code and a barcode so a bill takes seconds. Keep one price list and change it in one place. Record every purchase the day it arrives, with the supplier’s rate, so you notice when a rate rises.
Where software helps
Dukkan Bill keeps the bills, stock, party balances and payments in one place, shows Store Pulse for the day, alerts on low stock, and works on the phone, so the routine above takes minutes instead of hours.
Make this easier with Dukkan Bill
Make an invoice on the spot, check what is left in the godown, collect a payment, and read today’s sales. Same account, same stores, same invoice series as on the computer.
